Wikimedia Hackathon 2023: Event photography

This is a task to collect ideas and progress from the group of volunteers who agreed to help take photos at the Wikimedia Hackathon 2023 in Athens and upload them to Wikimedia Commons.

Volunteer roles

  • Adhere to the event’s photo policy while photographing.
  • Upload photos to Wikimedia Commons in the Category:Wikimedia Hackathon Athens 2023 or subcategory.
  • Take a group photo. There will be a date & time on the schedule for this.
  • Some ideas for the type of photos wanted are participants hacking on projects in groups, attending or conducting sessions or workshops, having small group conversations, event-specific swag items, etc.
  • Be active in the Telegram channel dedicated to volunteers and participate in in-person syncs at the beginning of each day during the Hackathon.

Coordinator roles

  • Be a point of contact for the volunteer group and lead coordination efforts!
  • Reach out to potential volunteers a few weeks before the event via email, informing them about their roles and responsibilities and asking them to subscribe to this Phabricator task to stay up to date. Organizers will share a spreadsheet with contact details.
  • Invite volunteers to join the WMHack 2023 Volunteers channel on Telegram.
  • Sync up with volunteers of your group at the beginning of each day during the event and provide the necessary support to volunteers & organizers.
  • After the event, ensure no volunteering-related task remains to be resolved on Phabricator. Send a thank you message to volunteers in the form of a Wiki love token. It will be shared by organizers with all leaders soon.

Photo policy:

Participants will be able to indicate their preference for being photographed through the use of colored lanyards. Attendees will wear green lanyards to suggest that you may take their photo. Red-colored lanyards indicate that a person does not wish to be photographed.
If someone asks not to have their photo taken but is not wearing an identifiable lanyard, please direct them to one of the hackathon organizers to get an appropriate lanyard and do not take their photograph.
The purpose of photographing the event is to have a report of the event's activities. Candid photos are acceptable if the subject is aware they are being photographed. Please don't upload pictures of people in awkward, intimate, or embarrassing situations. For example, in the middle of a yawn, having a private conversation, or eating something. Please be aware of the Commons guidelines on photographs of identifiable people. The same policy applies to filming the event.

I plan on taking photos during the event and uploading them to Commons, would be happy to also take photos on request.
