Westhaven Ltd.: Giving caregivers more time to spend with clients

Overview

For Australian disability care provider Westhaven Ltd., distance was a key barrier to providing fast, attentive IT service to its 600 front-line caregivers. Many of Westhaven’s support houses and day care centers are in rural areas as much as a 12-hour drive from the organization’s Dubbo, New South Wales headquarters. Westhaven’s small three-person IT team needed to supply caregivers with simple, easy-to-use devices that could be managed remotely. Security was a must-have, since in the past, shared logins for Windows devices placed patient information at risk.

Westhaven chose Chrome Enterprise, Chromebooks, and Google Workspace to help caregivers spend more time on patients and spend less time managing paperwork—eliminating tasks like filling in paper forms and transferring documents to headquarters. The intuitive devices, as well as familiar Google Workspace tools, helped caregivers with varying levels of English-language proficiency and technical skills quickly learn how to manage patient-recordkeeping.

Client information in the cloud for streamlined record-keeping

In 2019, with help from partner Deloitte, Westhaven began using Google Workspace company-wide. To build on its cloud adoption journey, the organization wanted devices that would suit a geographically dispersed workforce with widely varying digital skills. Through another partner, Unitech Solutions, Westhaven initially ordered 70 HP Celeron Chromebooks as replacements for aging devices at several of its facilities; the organization plans to standardize on Chromebooks for about 50 administrative staff in the near future. Westhaven is also using Chromebits as a flexible tool for turning any monitor into a Chrome device.

Caregivers now use Google Forms to log patient data and reports, which are easily accessible and shareable in Google Drive. In the field, onsite caregivers can access caregiving apps on Android phones. As the COVID-19 pandemic forced closure of its headquarters, Westhaven also increased its use of Meet for videoconferencing for staff working from home.

With Google and Chrome Enterprise, my IT role has changed from being a very reactive, hustle-bustle kind of job to a forward-thinking one, more focused on new initiatives and ways to improve operations.
